We keep it simple. Here's exactly what we collect, why we collect it, and how we protect it — no legal jargon required.
Effective date: April 28, 2026.ProviderQuoHealth LLC, a North Carolina limited liability company (“we,” “our,” or “us”), operates providerquohealth.com — a national directory helping patients find healthcare providers by specialty, condition, and location. This Privacy Policy explains how we handle information you share with us when you visit the Site, claim or submit a listing, leave a review, or contact us.
We are not a HIPAA-covered entity
ProviderQuoHealth is a directory, not a healthcare provider, health plan, or healthcare clearinghouse. We do not provide treatment, bill insurance, or maintain medical records, and we do not enter Business Associate Agreements. Please do not submit Protected Health Information (PHI) — including specific diagnoses, treatments, medications, or other clinical details — through the Site, in reviews, or in messages to us. Anything you choose to disclose becomes public if posted in a review, and we cannot remove it from search engine caches.
1. Information We Collect
We only collect information that's necessary to run the directory and serve our users. Here's what that includes:
Provider Listings
Most provider records on the Site are sourced from public registries, primarily the NPPES National Provider Identifier (NPI) registry published by CMS. When a provider claims or submits a listing directly, additional information may be provided:
- Provider or practice name
- Practice address, phone, and website
- Specialty, subspecialty, and conditions treated
- Accepted insurance plans
- Hours, languages, and accessibility info
- Bio, photos, and links
Accounts and Claims
When you create an account to claim a listing or leave a review, we collect your email address, an optional display name, and a hashed password. When you submit a verification document (NPI confirmation or state license), it is processed in memory by our verification service and immediately discarded — we do not store the document itself, only the verified result (pass/fail and the matched name).
Patient Reviews
If you leave a review, we collect your account email (not publicly displayed), the display name on your account, the rating, and the review text. Reviews are public and intended for other patients — please do not include PHI.
Contact Form Messages
If you reach out via our contact form, we collect your name, email address, and the content of your message so we can respond to you.
Usage Data
We use basic analytics to understand how visitors use the Site — things like which pages are visited and general traffic patterns. This helps us improve the directory. See the Cookies & Analytics section below for details.
2. How We Use Your Information
We use the information we collect for these purposes:
- Display listings — Provider information is published in the public directory so patients can find and contact providers.
- Verify providers — We cross-reference submitted credentials against the NPI registry and state licensing data to confirm legitimacy.
- Moderate content — We screen reviews and listings for spam, abuse, and obvious policy violations before they go live.
- Respond to inquiries — Contact form messages are used solely to reply to your question or request.
- Improve the site— Aggregated usage data helps us understand what's working, fix issues, and make the directory more useful for patients and providers.
We do not sell your information, use it for behavioral advertising, or share it with third parties for marketing purposes.
3. Provider Listings & Public Information
A few things to know about provider listings:
- Public by design — Listing information is intended to be public. It will appear on the directory page visible to all Site visitors and may be indexed by search engines.
- NPI-sourced data — Most listings are seeded from the NPPES NPI registry, which is itself public information published by CMS.
- Admin review of claims — When you claim a listing or submit a new one, we manually review the submission before applying changes to the live listing.
- Removal requests honored — If you are the listed provider and want your listing removed (or hidden from search), email us and we will process the request promptly.
4. Cookies & Analytics
We use a session cookie to keep you signed in when you log in to your account, and we use basic, privacy-respecting analytics to understand site traffic and usage patterns. This may involve cookies or similar lightweight tracking technologies.
We do not use tracking cookies to build advertising profiles, and we do not sell analytics data to third parties. Our goal is to understand how people use the directory so we can make it better — not to track individuals across the web.
5. Third-Party Services
ProviderQuoHealth relies on a small set of third-party infrastructure providers to operate:
- Supabase — Stores listing and account data securely in the cloud.
- Vercel — Hosts the Site and processes web requests; may log basic connection information as part of normal hosting operations.
- Resend — Sends transactional email (claim approval notifications, password resets, contact replies).
- Anthropic (Claude) — Pre-screens listing submissions and credentialing documents. Document images are sent for verification only and are not stored by us.
- NPPES NPI Registry — Public CMS registry we query to confirm provider identity and licensure.
Each of these providers has its own privacy policy. We choose providers we trust and that meet reasonable data protection standards.
6. Data Retention
- Provider listings — Retained in the directory indefinitely, or until the listed provider requests removal.
- Accounts — Retained for as long as your account is active. You can request account deletion at any time.
- Verification documents — Not retained. Documents are processed in memory by our verification service and discarded immediately.
- Reviews — Retained as long as the underlying listing exists, unless removed for policy violation or by request.
- Contact form messages — Kept for a reasonable period to allow follow-up, then deleted.
7. Your Rights
You have the right to:
- Access your data — Ask what information we hold about you.
- Request a correction— If your listing or account information is outdated or inaccurate, contact us and we'll update it.
- Request removal — Ask us to delete your account, remove your listing, or take down a review you authored. We will honor such requests without requiring you to jump through hoops.

8. Children's Privacy
ProviderQuoHealth is intended for adults searching for healthcare providers (which may include pediatricians and other providers who treat minors). The Site is not directed at children under the age of 13, and we do not knowingly collect personal information from anyone under 13. If you believe a child has submitted information to us, please contact us so we can remove it.
9. Changes to This Policy
We may update this Privacy Policy from time to time as the Site grows or as legal requirements change. When we do, we'll update the effective date at the top. For material changes, we'll notify account holders by email or post a banner on the Site.
